Oxford8 Limited is committed to maintaining the highest standards of integrity and transparency in all aspects of our business. This policy provides guidance for raising concerns about unethical, illegal, or improper conduct within our organization or among our associates and suppliers.

This policy aims to:
  • Encourage individuals to report genuine concerns without fear of retaliation.
  • Ensure concerns are addressed promptly, fairly, and confidentially.
  • Uphold our commitment to ethical business practices.
This policy applies to all employees, associates, suppliers, and other stakeholders who engage with Oxford8 Limited. It covers concerns related to:
  • Fraud, corruption, or financial misconduct.
  • Breaches of legal or regulatory obligations.
  • Modern slavery, human trafficking, or exploitation.
  • Health and safety violations.
  • Environmental harm or unlawful practices.
  • Any behaviour that conflicts with our ethical values or policies.
What to Report:
  • Any suspicion of unethical, illegal, or improper conduct that may affect Oxford8 Limited or its supply chain.
  • Issues where there is reasonable belief that wrongdoing has occurred, is occurring, or may occur.

Confidentiality:
  • Reports will be treated with the utmost confidentiality. The identity of whistleblowers will be protected unless disclosure is required by law.
  • Anonymous reports are accepted, but providing contact information may facilitate investigation and resolution.
Acknowledgment:
  • Receipt of a whistleblowing report will be acknowledged within ten business days where a return form of communication is possible.
 
Assessment:
  • The concern will be assessed to determine whether further investigation is required.
 
Investigation:
  • Investigations will be conducted by an impartial party, ensuring fairness and objectivity.
  • Relevant evidence and witnesses may be sought during the investigation.

 

Outcome:
  • The whistleblower will be informed of the investigation’s outcome where possible, taking into account confidentiality and legal considerations.
  • No Retaliation: Oxford8 Limited strictly prohibits retaliation or victimisation against individuals who raise concerns in good faith. Any form of retaliation will result in disciplinary action.
  • Support: whistleblowers will have access to appropriate support during the process.
  • False reports: deliberate false reporting will be treated as a serious disciplinary matter.
  • Management: ensure concerns are addressed promptly and fairly and foster a culture of openness and integrity.
  • Whistleblowing officer: oversee the implementation of this policy and handle whistleblowing reports.
  • Employees, associates, and suppliers: report any concerns promptly and cooperate fully in investigations.
